What to include on a UK invoice

HMRC has a minimum set of fields a sole trader invoice has to carry; VAT-registered businesses have a few extras. The AllSquare generator captures all of them by default — but if you’re using a different tool, here’s the checklist.

  • Your business name, address and contact details
  • The customer’s name and billing address
  • A unique invoice number (sequential — e.g. INV-001, INV-002)
  • The invoice date and the date(s) the work was completed
  • A line-by-line breakdown of goods or services supplied
  • The amount(s) charged, plus VAT if you’re VAT-registered
  • Your VAT number (mandatory if VAT-registered)
  • Total amount due and your preferred payment terms
  • Your bank details (sort code + account number) so the customer can pay

What does this invoice generator actually cost?

Can I add my logo and brand?

Yes. Upload a logo when you fill in your business details and it appears at the top of the invoice. The PDF carries your branding throughout.

Does the invoice include VAT?

Yes. Set a tax rate (any percentage, or none) and AllSquare calculates VAT per line and on the total. UK VAT is 20% — switch the rate and you’re done. Works for international tax setups too.

What payment terms should I put on it?

Common UK terms are “Due on receipt” for small jobs, “Net 14” for regular work and “Net 30” for corporate clients. Add the terms in the notes field on the invoice and your bank details so customers know where to pay.

How do I send the invoice once it’s downloaded?
