Four moments a receipt earns its keep
For small businesses and sole traders, receipts come up more often than you’d think. Here’s when “let me send you something properly” beats “I’ll just text you a thumbs-up.”
Taking cash on completion
A handwritten note on a torn-off invoice doesn’t cut it for the customer’s warranty or your HMRC records. A proper PDF receipt does both.
Confirming a bank transfer
Customers want acknowledgement when they’ve paid by transfer — and you want to mark the work as “paid in full” before you forget.
Deposits and part-payments
When a customer pays half upfront, give them paper. It avoids the “did I pay that already?” conversation eight weeks later.
When the customer asks
A receipt is the customer’s right, not a favour. Issuing them on demand is part of looking professional — and it takes a minute.
About the receipt generator
A receipt is the paperwork that closes a transaction — proof of payment that protects both you and the customer. For cash jobs, deposits, and any payment that doesn’t go through a card terminal, a written receipt is what your customer expects and what your bookkeeping needs. AllSquare’s free receipt generator creates a clean, branded PDF in your browser. Fill in your business details, the customer, what was paid for, the amount and the payment method, and download a polished PDF. No sign-up, no email, no watermark. Useful for trades taking cash on completion, retailers handling deposits, freelancers acknowledging bank transfers, and anyone who wants the customer to walk away with something tangible.
Why bother with a proper receipt
- 🆓
Hand over a receipt on the spot
Generate the PDF on your phone while you’re still standing at the customer’s door, then email or AirDrop it before you leave. No account, no card, no waiting.
- 🧾
Proof of payment
A written receipt protects both sides — useful for tax records, warranty claims and customer disputes.
- 🌍
VAT, GST and Sales Tax
Add any tax rate. Works for UK VAT receipts and international tax setups.
- 📱
On-the-go in the app
Use the AllSquare iOS app to issue receipts from your phone alongside invoices and estimates.
How the receipt builder works
- 1
Add your business details
Your name or company, address, contact info and (optionally) a logo. These appear at the top of the receipt.
- 2
Add the customer
Customer name (and address if you want it on the PDF). They appear alongside your business details.
- 3
List what was paid for
Add line items describing the goods or services received, with the amounts. The customer can see exactly what the payment covered.
- 4
Record the payment and download
Note the payment method (cash, card, transfer) and date, then hit Download for a branded PDF receipt.
Receipts — what people usually ask
- Is this really free, or do I get hit with a paywall at download?
- Really free. No paywall, no card capture, no “upgrade to remove watermark” message. The PDF that comes out is the finished article. We monetise the iOS app for people who issue receipts every week — the web tool is for the times you need one occasionally.
- What’s the difference between a receipt and an invoice?
- An invoice is a request for payment — sent before the customer pays. A receipt is proof of payment — sent after. Many small businesses use both: invoice on completion, receipt when payment lands.
- When do I need to issue a receipt?
- Whenever a customer asks for one, when you take cash, and any time you want a paper trail for your records or theirs. UK businesses must keep records of takings; a numbered receipt makes that simple.
- Does the receipt include VAT?
- Yes. Set a tax rate and the receipt shows VAT per line and on the total. UK VAT receipts must show your VAT number — add it under your business details and it appears on the PDF.
- Can I add my logo to the receipt?
- Yes. Upload a logo when you fill in your business details and it appears at the top of the receipt PDF.
- Can I email the receipt to the customer?
- Once downloaded, the PDF is yours — email it as an attachment, share it via messaging, or print and hand over. The PDF is portable and works the same wherever you send it.
